Reference letters, also called recommendation letters, letters of reference, or letters of recommendation, are letters in which the writer highly praises the applicant’s or candidate’s qualifications and skills, describing them as ideal for the position for which they are applying, a scholarship, or a university. The individual who produces the reference letter is known as the sponsor, and they are frequently former coworkers, supervisors, teachers, or professors.


Avoid the effort of contacting the applicant’s former company and asking for references by using a well-written reference letter instead. It serves as a direct endorsement of the applicant’s abilities from their manager, who also discusses their interactions with the candidate and helps you determine whether the candidate is a good fit for the position.

  • ADVERTISE YOURSELF- The finest recommendation letters come from someone who the applicant has had direct contact with. They can accurately describe your talents and experience and are ideally suited to writing about your qualifications. It also discusses the candidate’s approach to managing relationships at work.   • DISCUSS ABOUT YOUR ACCOMPLISHMENTS & QUALIFICATIONS- Tell the sponsor about your prior experience, current position’s responsibilities, accomplishments, and specifics of the new role. This aids them in emphasizing your qualifications for the new position.
  • BRIEF ON YOUR SPECIFIC QUALITIES- Are you a team player? Do you maintain a good relationship with employees at your workplace? Are you good at taking responsibilities and delivering them? Are you a problem solver, who thinks on your feet? How do you manage time? Your reference letter can give insights on all these personality traits. If you, as the sponsor, believe you don’t know the employee well enough or don’t know them well enough, tell them about it. Try to remember incidents and circumstances where the employee displayed their finest abilities and how they benefited your team and the business. Ask the employee to share the information with you if you don’t remember them so you may create a positive reference letter for them.


  • BEGINNING-Let’s start with the greeting. Address the recipient by their designation if you don’t know their name. You might also write “To whom it may concern” instead.
